GENERAL RISK ASSESSMENT: DJ ARCHIE SCHOOL & AGENCY (Reviewed on 1st July 2025)
Overview
This risk assessment outlines the core health and safety considerations for DJ tuition sessions delivered by the DJ Archie School & Agency. Our events are designed for young people, including those with additional needs, and take place in community spaces, schools, youth centres, and event venues. All sessions are led by trained, DBS-checked mentors with experience in safeguarding and working with young people.
1. Supervision & Safeguarding
Each session is supervised by at least one qualified mentor who holds a current enhanced DBS certificate. Mentors are trained in safeguarding best practices and follow the DJ Archie School safeguarding policy. For events involving larger groups, additional staff or chaperones are present to maintain safe adult-to-student ratios. No child is ever left unsupervised.
2. Electrical Equipment & PAT Testing
All DJ equipment including decks, speakers, laptops, and cables is regularly PAT-tested and maintained. Before each session, a visual inspection is conducted. Power cables are safely routed and taped down to prevent trip hazards. Equipment is set up and packed down only by trained staff.
3. Noise Levels & Hearing Protection
Sound levels are kept within safe limits as recommended by the Health and Safety Executive. For young children or individuals with sensory sensitivities, volume is reduced accordingly. Ear defenders or earplugs are available on request to ensure hearing safety for all participants.
4. Trips, Slips & Falls
Venues are assessed upon arrival to identify and remove any slip or trip hazards such as loose cables, wet floors, or clutter. Cables are secured with tape or covers. Clear walkways are maintained at all times. First aid kits are present on-site, and at least one team member is first aid trained.
5. Fire Safety
6. Manual Handling
Heavy equipment (e.g., speakers or flight cases) is lifted by staff only. Trolleys or dollies are used where appropriate. No student is expected or allowed to lift or carry heavy gear.
7. Inclusion & Additional Needs
Our sessions are inclusive by design. Mentors are briefed on any specific needs or support requirements for attendees. We offer flexibility in delivery style for those with autism, ADHD, anxiety, PTSD or other special educational needs, and work closely with parents, carers or staff to ensure comfort and engagement.
8. COVID-19 and Hygiene
All shared equipment (e.g., headphones, decks) is cleaned with antibacterial wipes before and after use. Hand sanitiser is available for all participants. If a participant feels unwell or shows symptoms of illness, they are advised not to attend.
9. Behaviour & Conduct
A clear code of conduct is explained at the start of each program. Positive behaviour is encouraged and managed using clear communication and expectations. In the event of serious misconduct, parents or carers are contacted and, if necessary, the session is paused or ended.
10. Emergency Procedures
Mentors carry mobile phones at all times for emergency contact. Emergency contact numbers for all students are securely stored and accessible during sessions.
We follow site-specific emergency protocols when working in partnership with schools or external venues.
Review and Updates
This risk assessment is reviewed every six months or following any incident. Site-specific additions are made for one-off events or new venues.
